How do I Format Addresses for Printing


If you need to vary from a standard Address Book format (for example, if you need to add an attention line, or include the country as well as the city and state), you can do so. As you select from the various options to change the format, you can preview the appearance of the address. For example, select from the Attention Line options to see how the formatted address looks without an attention line, or with an attention line before the name, after the name, or at the end of the address.


The printed address is limited to five lines. If you add too many blank lines, it may not print correctly. Check the Formatted Address area to make sure that the complete address displays properly.

  1. Choose Tools menu > Address Book. 
  2. In the Address Book window, select one or more contact addresses to format.
  3. Click Options > Format Address.
  4. The Formatted Address area at the top of the window displays the address as it will appear in print. Select from the various options to change the format.

    • Tell me more about the formatting options:
      • Use First 5 Lines of Notes instead of Address: Use this option if you have an address that does not fit the standard Address Book format, for example, an international address.
      • Attention Line: Select from the Attention Line options to format the printed address without an attention line, with the attention line positioned before the payee name, after the name, or at the end of the address. This gives you the choice of entering a company name as the Payee and entering the personal contact on the attention line.
      • Omit Payee: Select to format the address without the payee name.
      • Put salutation before payee: Select to format the address with the salutation before the payee's name.
      • Separate City and State: Select to format the address with the city and state on separate lines.
      • Show Country: Select to include the name of the country in the formatted address.
      • Add Blank Line: You can select to add a blank line at the start of the address, before the street, and after the street.
  5. Click OK.
